A good document brand has two layers: facts that must stay true, and a design that can change. Keep them apart and a redesign never overwrites your address or an approved document.

Write down the facts
List your legal and trading names, logo, address, contact lines, tax IDs, bank details and voice. Give each one an owner and keep it in one place instead of copying it into every template.
- Put a fact on a document only when that document needs it.
- Use sample values in public templates, never real customer details.
- Check regulated or high-risk facts before every external send.
Then design the page
Choose the page size, type, colors, letterhead, footer, watermark, spacing and table style as one system. Let a single document keep its own copy and override it when it has to.
- Keep content templates separate from page designs.
- Test long names, multi-page documents and dense tables.
- Roll brand changes out on purpose, so approved documents don’t change by accident.
